Enterprise search for internal knowledge

Employees search different portals separately and find it hard to tell which document is binding and up to date. With enterprise search, we offer you a single search entry point with relevant ranking, traceable origin and consistent access decisions.

Search success from the perspective of different user roles

Our offering is aimed at organisations with several knowledge systems and heterogeneous access rights. For companies in Germany, Austria and Switzerland, we plan enterprise search based on the existing systems and the collaboration required.

For knowledge search, we collect search tasks from several roles. A new employee often searches for different terms than an experienced specialist. Sales, development and service may name the same thing differently. A search concept therefore takes account of specialist terminology, synonyms and the question of which information already needs to be helpful in a results list. A relevant hit without a recognisable version status can still remain unusable in day-to-day work.

In search integration, we distinguish between confidential content and publicly visible metadata. A file name, customer name or project title may already be worth protecting. Permission tests therefore check not only the opening of a document but the entire display of hits. For enterprise search, we define how changes to user groups and document rights are adopted. We also examine what may be displayed when a source system cannot be reached. The assessment within search integration combines search tasks, viewing rights and up-to-dateness. A technically fast search is only considered successful when users recognise the right information and can use it lawfully. These criteria make enterprise search verifiable for a limited pilot and later extensions.

Scope of services for enterprise search

The agreed scope for knowledge search can include the following results: source inventory, connectors, search schema, synonym management, results display and relevance assessment. For each key result, we define its purpose, who reviews it and in what form it is handed over. This allows development, operations and procurement to assess the same service. Vague umbrella terms in the proposal are replaced by concrete work packages.

Search integration also includes coordinating the necessary interfaces with your team. We clarify access, contact persons and available testing options before the relevant implementation steps. Changes to the scope are described together with their effect on effort and sequence. This gives you a clear overview of delivered results, outstanding prerequisites and additional requests.

The key technical decision in enterprise search

Federated search and a central index have different consequences for up-to-dateness, availability and the copying of sensitive content. For enterprise search, we document the relevant assumptions and justify the chosen option. Key alternatives are considered against the same functional requirements. This makes later adjustments easier when load, data volume or organisational responsibility change.

A sound decision also takes maintainability and handover into account. For knowledge search, we check which skills are available in-house and what additional support is needed. Technical possibilities are thereby linked to a realistic operating model. The client can see which tasks will arise regularly after the project and which decisions remain with them.

What supports good decisions.

Decisions need technical understanding.

Risks and acceptance in enterprise search

Document titles and hit counts can already reveal confidential information, even if the full text remains locked later. In search integration, we treat this point as a concrete review question. A risk is linked to the affected process, its potential impact and a suitable measure. Where prerequisites are still missing, the statement is explicitly left open until the necessary investigation has taken place.

We assess search success, time to the right document, index freshness and the prevention of unauthorised metadata display. For enterprise search, we record the initial situation, the tested configuration and the result. Acceptance refers to the agreed scope. Open limitations are documented visibly and assigned to a next step with a clear owner. This enables your team to distinguish between proven functionality, a deliberate decision and an assumption that has not yet been confirmed.

Project example as an illustrative scenario

The following scenario is an application example and not a customer reference. A company searches for project knowledge in file shares, a wiki and a ticket system. In enterprise search, a business unit whose search problems and permissions are manageable would first be selected. Employees would describe typical search tasks together with known matching documents. This would create a test set that assesses actual findability and not just the number of indexed files.

For enterprise search, the identities and access rights of the source systems would be a separate work step. Removing a permission would also have to affect hits, preview texts and cached content. Functional tests would cover synonyms, abbreviations, duplicate documents and outdated versions. It would also need to be checked how quickly changed or deleted content is reflected in the search service. A well-placed hit would remain useless if it leads to an unreachable or outdated document.

Approval of the knowledge search would assess search quality and information protection together. The business unit would have to be able to complete its tasks with fewer detours; at the same time, no additional content would be allowed to become visible. The handover would include the source inventory, indexing rules, rights mapping and a documented update run. Only then would further data sources be connected. The search could later be extended with answer functions without these already being a prerequisite for a useful first expansion step.

Our experience and our engineering approach

We combine custom software development with the technical tasks of introduction and further development. For enterprise search, we bring the perspectives of application, integration and operations together in a shared workflow. The functional requirements remain linked to the technical decisions. You work with a defined scope of services and traceable results.

Our experience should be concretely verifiable for your project. In a technical exchange, we therefore explain how we examine the relevant risks, which work results are planned and how your team can assess them. For knowledge search, we align the roles involved with the actual need. Available references are presented with their respective project and company context; confidential customer details are not used as general advertising claims.

Effort for knowledge search

Effort arises mainly from connectors, rights mapping, data volume and quality work on metadata. We therefore calculate enterprise search on the basis of a defined scope and explicitly stated prerequisites. An initial analysis step can be useful if key technical information is still missing. Work packages and acceptance criteria can then be agreed on a more reliable basis.

Enterprise search can be organised as a limited project, as a joint implementation with your team or with subsequent support. Rights of use, access, documentation and responsibilities are clarified in the contract. Ongoing operating hours, response times and external consumption costs are subject to separate agreements. This keeps it clear which services are provided once and which tasks arise regularly after the introduction.

Scope boundaries of enterprise search

We only add a freely formulating answer assistant if pure search does not sufficiently meet the business need. For search integration, we already set out this boundary in the proposal. Required additional services are included with their functional justification and are not silently assumed. This allows your team to plan suitable internal skills and divide the overall service sensibly among those involved.
